How do we collect information from you?

If you have agreed to be a referee for an Amiqus job applicant, some of your personal details will have been provided to us by that applicant as part of their application for employment. Providing a reference is voluntary and may not be a legal obligation if you work in an unregulated profession. We will confirm that you wish to take part in the application process as a referee before requesting any additional personal information from you.

What kind of personal information do we collect?

  • Your name
  • The name and address of your company, position and relationship to the applicant
  • Your personal address and relationship to applicant (when providing a personal or character reference)
  • Your telephone number and/or email address

How is your information used?

We must have a legal basis for processing your personal information and therefore we will only contact you and process certain personal information in relation to your role as a voluntary referee in the job application process and in accordance with the terms of our privacy and security policies. You can opt out of taking part at any time.

How long is your information kept or?

Different laws require us to keep different information for different periods of time as shown below:

Where the applicant is unsuccessful

If the applicant is unsuccessful after you have provided a reference, the information related to their application will be kept for six months. After this time, the electronic information will be deleted and any paper information confidentially shredded.

Where the applicant is successful

If the applicant is successful after your reference, the information related to their application will be transferred to their personnel file, which will be kept for six years from the end of their employment. After this time, the electronic information will be deleted and any paper information confidentially shredded.

We reserve the right to retain your personal information alongside the applicant’s personal information for as long as is necessary for completion of the application and employment process.

Who has access to your information?

Where we need to share your personal information with the relevant responsible colleagues, we require that they treat your information as confidential and ensure its continued protection while in their possession. The relevant responsible colleagues include:

  • Amiqus’ Head of People
  • The relevant Team Lead or CEO

We will only share your relevant personal information with a third party when necessary to protect the applicant’s vital interest, for example, with the emergency services.

Lawful processing

Confirming certain details of an applicant’s employment history with their consent is an essential part of our due diligence before offering a contract of employment.
